This Privacy Policy explains how Black Dolphin Creative LLC (dba Black Dolphin Rentals) (“we”, “us”, “our”) collects, uses, and protects information when you visit our site, contact us, or rent equipment. We keep this simple and practical: we only collect what we need to run the business, protect the gear, and keep everyone safe.
Information We Collect
We collect information in four main ways:

- Project and booking details (dates, locations, gear list, notes)
- Billing details (payment confirmation, partial card info from processors)
- Insurance details (COIs, provider info when required)

When you rent, we keep records of:- What you rented and when (pickup/return dates and times)
- Invoices, payments, security holds, and any Damage Waiver (BDDW) selections
- History of communication about each rental (including SMS where applicable)

Like most sites, we may collect:- Pages visited and basic interaction data
- Approximate location, device type, and browser information
- Referral source (how you arrived at the site)

GPS / location data from rented gear
Some or all rental items may include GPS or location-tracking technology so we can see the approximate location of the equipment itself during your rental.
GPS / Location Tracking on Rentals
To protect the gear and support recovery if something goes wrong, we may use GPS or location tracking on any rental. We treat this as a security tool to keep jobs running smoothly, not as a way to monitor your creative work.

What is tracked
Tracking applies to the location of the equipment, not your personal phone, laptop, or other unrelated devices. -
Why we use tracking
We may use gear location data to:- Help recover missing or stolen equipment
- Support insurance claims or police reports
- Meet legal, safety, or security obligations

How we do not use it
We do not use GPS/location data for marketing, profiling, or unrelated tracking of you or your crew. It exists to protect the gear and document what happened if it goes missing. -
Your consent
By booking and taking possession of rented equipment, you accept and consent to reasonable GPS/location tracking on that equipment for the purposes described here and in our Rental Agreement & Coverage. If you do not agree to this, you should not proceed with a rental. -
Tampering
You agree not to tamper with, disable, or remove any tracking devices. Doing so may result in additional charges, denial of future rentals, and/or reporting to law enforcement if the gear is not returned.
SMS Text Messaging
We use SMS text messaging in two ways: (1) transactional messages that keep rentals running smoothly, and (2) optional marketing/perk messages that you can choose to receive.

How we collect your mobile number
You may provide your mobile phone number when you:- Fill out the online booking form on blackdolphinrentals.com;
- Create or update an account with us; or
- Communicate with us by phone or text (for example, using a “Text us” link on the site).

Transactional SMS (rental notifications)
We may send transactional SMS messages (sometimes via a third-party messaging platform/number) to:- Confirm bookings or important changes to your rental;
- Send pickup reminders and return reminders for your gear;
- Send occasional payment reminders for outstanding balances on confirmed rentals; and
- Respond to questions you send us by text.

Optional marketing / perks SMS (only if you opt in)
On our online booking form, you may see an optional checkbox such as “Get rental deals & special offers by text.” If you choose to check that box, you consent to receive occasional marketing/perk messages, which may include:- Promo codes and discounts for future rentals;
- Bundle offers and repeat-renter perks;
- Occasional follow-ups inviting feedback or reviews; and
- Other messages designed to help you save on future rentals.

Consent to receive texts
By providing your mobile number and submitting a booking request, creating an account, or otherwise asking us to communicate with you by text, you consent to receive transactional SMS related to your current and upcoming rentals as described above. Marketing/perk SMS are only sent if you separately opt in via the optional checkbox or a similar, clearly labeled process. -
Opting out of SMS
You can opt out of non-essential SMS at any time by replying STOP to any message we send you. After you send STOP, we will send a confirmation SMS and stop sending additional non-essential texts to that number, except where a message may be required for legal, security, or fraud-related reasons. You may still receive essential communications by email or other channels. -
Getting help by SMS
If you need help regarding our SMS program, you can reply HELP to any text or contact us directly by email or using the “Text us” link on our site. -
Message and data rates
Message and data rates may apply to any SMS we send you or that you send us, depending on your mobile plan with your carrier. -
How we handle your mobile number
We do not sell, rent, or share your mobile number with non-affiliated third parties for their own marketing. We only share it with:- Our SMS/platform providers who help us deliver messages (for example, carriers and messaging platforms); and
- Law enforcement or other parties when required by law or to protect rights, property, or safety.
How We Use Your Information

- Process payments, security holds, and optional Damage Waiver (BDDW) selections
- Maintain rental history, damage records, and operations

- Protect and recover equipment (including GPS/location data when applicable)
- Improve our site and services
How We Share Information
We do not sell your personal information. We only share it in limited cases:

- Communication history retained for context and dispute resolution
- GPS/location logs retained as needed for incidents, claims, or legal obligations (not for marketing)
- Reasonable security measures in place (no system is 100 percent secure)

Third-Party Links and Tools
The site may link to or embed third-party services (booking widgets, payment links, messaging platforms). They have their own privacy policies; we are not responsible for them.
Children’s Privacy
Services are for adults/business use only. We do not knowingly collect from children.
